Fleet compliance cost calculator

Fleet compliance cost calculator

A fleet compliance cost calculator turns minutes spent chasing licences, insurance and right-to-work documents into hours and pounds per month. Add your own figure for a shift you could not run because a file had expired. It does not add a fine you did not type.

Monthly chasing hours equal minutes a week times 52, divided by 12, divided by 60. Monthly chasing cost equals those hours times your hourly rate. Add expired-document events times your estimate of a wasted shift. The total is those two lines. It does not include an operator software price. Assumptions were checked on 25 September 2026. Put the annual total into the fleet ROI calculator if you want it beside Zerity being free for operators.

The formula

  • Hours a month = minutes a week x 52 / 12 / 60
  • Chasing cost = hours a month x hourly rate
  • Wasted shifts = events a month x your cost per event
  • Monthly total = chasing cost + wasted shifts

Questions

What cost should I include?

Time spent chasing licences, insurance and right-to-work documents, plus shifts you could not run because a file was expired. Leave out fines unless you know the figure.

Is this the same as the ROI calculator?

No. This page costs the admin you have. The fleet ROI calculator sets that beside Zerity being free for operators.

Does Zerity remove compliance risk?

It stores documents and shows expiry. Zerity stores the licence record, the date it was checked and the expiry. Track every expiry date in one place.

Why is the result per month?

Minutes a week are turned into hours a month, then priced at your hourly rate. Expired-file events are the monthly count you type.
